Pinecone Cottage Rental TERMS and Conditions/Rental Contract

Pinecone Cottage, is located at 1236 Giant Track, Estes Park, Co 80517

  1. CHECK-IN and CHECK-OUTS– CHECK-IN TIME IS AFTER 3 P.M. MST AND CHECK OUT IS 10 A.M. MST. NO Early Check-ins or late check-outs without prior permission.
  2. NON-SMOKING and PET FREE POLICY – This is a NON-SMOKING and PET FREE cabin. No smoking is allowed neither inside nor outside the cabin. If you are a smoker or plan to bring pets, please seek alternative accommodations. If you SMOKE or BRING a PET, YOU WILL LOSE YOUR SECURITY DEPOSIT and be charged additional damage.
  3. WELL USAGE – The water for the cabin is served by a well. We request the guests to be cautious and not leave faucets or water running as it can run the well dry.
  4. MAINTENANCE ISSUES and REPORTING – Maintenance or any issues must be reported immediately to owners. Owners must be given a chance to rectify the problems before complaints or requests for refund are made.
  5. DAMAGE/RESERVATION DEPOSIT – A damage/reservation deposit of $250 is required. The deposit automatically converts to a security/damage deposit upon arrival.
    1. This Cottage is an owner operated business. We meticulously clean between guests to ensure a most pleasurable vacation experience. There is a leave as you found it policy except for Linens. We ask guests to care for our cottage as though it were their own. After your departure, if it takes more than 3 hours to clean, you will be charged an extra $45/hour for additional hours that will be taken out of your security deposit. The security deposit is NOT applied toward rent; however, it is fully refundable within (5) days of departure, provided the following provisions are met.
    2. No damage is done to cabin or its contents, beyond normal wear and tear.
    3. No charges are incurred due to contraband, pets or collection of rents or services rendered during the stay.
    4. No linens are lost or damaged.
    5. Before final departure, please ensure that soiled dishes are cleaned, and towels are run through washer. We will put them in the dryer. You do not need to make the beds or clean the linens. Do not leave dirty dishes in the sink. Run it in the dishwasher and put the dishes away. Ensure keys are left in the lock box and that the cabin is left locked.
  6. GARBAGE DISPOSAL – The cabin is located where bears look for garbage, so garbage safety is important for upmost safety of the guests as well as the bears. All debris, rubbish and discards are placed in refuse containers outside, with a maximum of 3 large black garbage bags. This maximum of 3 bags is mandated by Estes Park Waste Management and not us. Put the garbage in bear proof garbage container. No loose garbage please
  7. PAYMENT – An advance payment equal to approximately 50% of the rental rate is required upon making the reservation. The advance payment will be applied toward the room rent. Please make payments in the form of PayPal, credit card, traveler's checks, bank money orders, cashiers-checks or personal checks payable to Janet Ali. The advance payment is not a damage deposit. The BALANCE OF RENT is due 21 days before your arrival date.
  8. CANCELLATIONS – A sixty (60) day notice is required for cancellation. Cancellations that are made more than sixty (60) days prior to the arrival date will incur no penalty except if deposits were made via credit card or PayPal. All credit card cancellations are subject to a 5% Cancellation fee or $50 whichever is greater. All PayPal cancellations are subject to a 3% Cancellation fee or $50 whichever is greater. Cancellations or changes that result in a shortened stay, that are made within 60 days of the arrival date, forfeit the full advance payment and damage/reservation deposit. Cancellation or early departure does not warrant any refund of rent or deposit.
  9. MAXIMUM OCCUPANCY – The maximum number of guests per cabin is limited to six (6) persons. THIS PROPERTY REQUIRES A FIVE (3) NIGHT MINIMUM STAY. Exceptions to the above requires prior approval.
  10. INCLUSIVE FEES – Rates include a one-time linen-towel setup. Amenity fees are included in the rental rate.
  11. NO DAILY MAID SERVICE – While linens and bath towels are included in the cabin, daily maid service is not included in the rental rate. We suggest you bring your own beach towels. We do not permit towels or linens to be taken from the cabins.
  12. KITCHEN MAINTENANCE – Only Ceramabrite or other provided glass top stove cleaner may be used on the glass top stove. Only nonabrasive cleaners may be used in the cast iron kitchen sink. Grease or oil from the granite kitchen counter tops must be cleaned immediately to avoid staining.
  13. RATE CHANGES – Rates subject to change without notice. Agreed upon rates will not change.
  14. FALSIFIED RESERVATIONS – Any reservation obtained under false pretense will be subject to forfeiture of advance payment, deposit and/or rental money, and the party will not be permitted to check in.
  15. WRITTEN EXCEPTIONS – Any exceptions to the above-mentioned policies must be approved in writing in advance.
  16. PARKING – Parking is limited to TWO (2) vehicles. Vehicles are to be parked in designated parking areas only. Parking on the road is not permitted. Any illegally parked cars are subject to towing; applicable fines/towing fees and is the sole responsibility of the vehicle owner.
  17. PEST POLICY CONDITIONS – This cabin is in an area where there is wildlife. There are chipmunks, squirrels, and mice around the cabin. If the doors are left open, these animals may enter the cabin. No refunds will be given for animals entering the house. Guests are informed that there is a difference between this situation and pest infestation. There is no pest infestation at this cabin.
  18. LARGE EVENTS– We do not allow large events or parties at this cottage.
  19. GOOD NEIGHBOR POLICIES- Quiet time is after 9 pm EST. Please enjoy the property within the designated lot lines. Please do not trespass into the neighbor’s lot
  20. STORM POLICY/ROAD CONDITIONS – No refunds will be given for storms. Mountain roads can be curvy and steep. Gravel drives are well maintained; however, we highly recommend four-wheel drive and/or chains during the snow months. We do not refund due to road conditions.
  21. ACCESSIBILITY – This Cabin is not handicapped accessible. Please seek alternative accommodations if you feel your family needs this facility.
  22. LIABILITIES – The owners are not responsible for any accidents, injuries or illness that occurs while on the premises or its facilities. The Homeowners are not responsible for the loss of personal belongings or valuables of the guest. By accepting this reservation, it is agreed that all guests are expressly assuming the risk of any harm arising from their use of the premises or others whom they invite to use the premise.
  23. OUTDOOR SECURITY CAMERA – We respect the privacy of our guests. There are no security cameras inside the cottage. However, there is a camera facing the door entrance only to monitor security of the home and our guests. This camera is used for general security and theft prevention. There are no cameras facing the deck or any outdoor scenic areas that guests typically enjoy. Tampering or disabling the outdoor security camera is not allowed. A fine in the amount of the cost of damage plus labor and time will be charged to the guest if this occurs.
